Author’s Kit

This page will help you to prepare and submit your full paper to EPE 2009.
LAST deadline to upload your full paper: Wednesday, June 24th 2009!

Full papers presented at EPE 2009 will be included in IEEE Xplore®. Therefore, EPE 2009 has registered for the use of IEEE PDF eXpress™. This feature will help you to either check whether the PDF-file of your full paper is IEEE Xplore®-compliant (PDF check function), or it will help you to create an IEEE Xplore® compliant PDF-file (conversion function).  No other format will be accepted!

Next to converting their full paper into a IEEE Xplore®-compliant PDF, the authors must upload their full paper into the EPE 2009 submission system for inclusion in the EPE 2009-Proceedings.  This requires an access code which will be sent to you by the EPE Secretariat, a couple of days after the conference fee related to your registration is received by EPE 2009.

The new IEEE Xplore® requirements for PDF are in effect since 2008. Every full paper submitted for inclusion in IEEE Xplore® and in the EPE 2009-Proceedings must therefore correspond with the IEEE Xplore® PDF-specifications for compatibility.

EPE 2009 - Steps to create and submit your full paper:

  1. Register and pay for the EPE 2009-Conference: Click here.
  2. Write your paper according to the instructions stated below. Keep the eventual comments of the reviewers and topic chairs of your synopsis in mind.
  3. Use IEEE PDF eXpressto check whether your PDF-file is IEEE Xplore®-compliant (PDF check function), or use IEEE PDF eXpressto create an IEEE Xplore® compliant PDF-file.
  4. Upload your full paper, the IEEE Xplore®-compliant PDF-file, into the EPE 2009 submission system. (Before you can upload your full paper into the EPE 2009 submission system, the payment of your registration must have been received. You then will receive an upload code.)

EPE 2009 – IEEE Xplore® / IEEE eXpress™

  1. Write your full paper. Don’t forget to take into account the reviewer’s comments which you (eventually) received in the notification e-mail. The full paper must be written in English.
  2. Download the Adobe Acrobat (.pdf)- and/or the MS Word (.doc) –template.
  3. Finalize and proofread your full paper. Check the lay-out of the full paper according to the formatting guidelines BEFORE you start using IEEE PDF eXpress™.
  4. Create your IEEE PDF eXpress™ account at http://www.pdf-express.org using the Conference ID: epe09x Useful information about how to access and use IEEE PDF eXpress™ is also available here: Using IEEE PDF eXpress™
  • Use IEEE PDF eXpress™ at http://www.pdf-express.org to check your PDF-file or to converse your source file(s).
  • When you have received the confirmation that EPE 2009 has received your payment, and accordingly the upload code, submit the IEEE Xplore® compliant PDF-file to the EPE 2009- submission system:  Click here.

EPE 2009 – Specifications for the Electronic File Format:

The full paper MUST be submitted as a IEEE Xplore® compliant PDF-file, saved as PDF 1.4 (Acrobat 5), or later. Scanned PDF-files are not allowed.

The files must be created using a PDF-distiller, all fonts must be embedded, there may NOT be any form of security and must NOT contain bookmarks, links or multiple files in a single PDF file.

The following PDF-characteristics are mandatory. IEEE will only load PDF-files to IEEE Xplore® if they meet all the requirements:

The table below summarizes various PDF characteristics and their allowable value or usage. If a PDF characteristic is missing in the table then any valid value is allowed. For example, page size is not specified in the table or in this document–therefore any page size is allowed.

If you do not want to use IEEE PDF eXpress™ to converse your source file(s), but only to check your PDF-file, use the appropriate xplore_distiller-file to help you to create the PDF-file: Click here.
If you want to read more about the PDF-specifications for IEEE Xplore®, click here.
The full paper should not exceed ten (10) A4-pages and the file size may not exceed 3 Megabyte.
Paper title, headings and body text should be written in Times New Roman, formulas in SYMBOLS – MS Equation Format – MathType Format. A special care should be taken for countries that use special fonts: double byte fonts (Asian countries), East European fonts,… and make sure that all fonts are embedded.

All graphics must be inserted in the PDF document. Graphics, pictures and other non-text elements could increase unnecessarily the file size. To avoid this, graphics must be prepared at the right size and color depth before including them into the final document. Avoid cropping or other distortion to ensure a good printed quality of your document. The use of JPG or GIF format is the best solution to decrease the total file size of your document.
We suggest:

Image Type Resolution Downsampling Compression Anti-Alias
Color 300 dpi Bicubic JPEG/Medium Not Applicable
Gray 300 dpi Bicubic JPEG/Medium Not Applicable
Monochrome 600 dpi Bicubic CCITT Group 4 Off
