Guidelines for the Preparation of the Dialogue Session Presentation


So you are going to present a paper at the EPE 2009-Conference in Barcelona…

... congratulations, in the European professional power electronics world it is considered an honour to have a paper accepted by the international selection committee for presentation at the 13th European Conference on Power Electronics and Applications.

... and good luck, since you are of course eager to get your ideas across to your colleagues coming from more than 40 countries and prepared to learn from your experience. The dialogue presentation is well suited for a prolonged discussion of specialists at your poster panel.

In the policy of the EPE-Association lecture and dialogue sessions are equal in worth!

1. Your Dialogue Presentation (Poster(s))

Although your uploaded paper will be included in the Conference Publication, the dialogue session is your great opportunity to present your work directly to other registrants and to discuss it with them.

Try to attract the registrants to your stand. Unless they come to it, you cannot expect to have a discussion with them. The display should therefore be visually appealing and should contain the essence of your paper in a form, which is easy to understand.

The local organizers prepare for each dialogue presentation a set with two poster panels side by side (see point 4). The set will have only your paper number on it until you provide your presentation material. Therefore please keep in mind your paper number. The title of the presentation must be the same title as your published paper (with authors and affiliation).

The posters will be grouped by topic and the poster panel is marked with a coloured sticker in the same colour like in the programme of the conference.

Your headlines should be visible from several meters away; so lettering should be large and clear. Your display should consist chiefly of keywords, diagrams, photographs etc … Colour photographs are particularly attractive in a display. Diagrams and graphs should have clear captions. All lettering should be easy to read. Normal typewritten or hand-written text is not allowed, but typewriting is acceptable if it is enlarged to 0.7 cm in height. All graphs and diagrams should be drawn with thick lines (preferably 1 mm or more in width). Use colour to emphasise important features. Photocopies of your typescript are not acceptable. You may also distribute information sheets. Those information sheets must be fastened directly at the board by means of your material (e. g. a fastened transparent envelop). You are responsible for the printing of your posters!

Presentation of your poster panel is important. You are recommended to take as much care with it as you did in preparing your written paper. We recommend to prepare one or two posters of the same size as recommended in point 4.

Only to allow the local team and the session chairs the preparation of the sessions, please upload the content of your presentation (poster) as a *.pdf-File or *.ppt-File by connection with URL: www.epe2009.com/pag/presentations.html

The size limit of your file is 10 MegaByte.

The name of the file should include the name of the author and the number of the paper.
(Name-FirstName-0123.pdf or Name-FirstName-0123.ppt)

The computers used to check the presentations have a basic installation of Windows XP professional SP2.
For displaying PDF presentations Adobe reader 8.1 for will be used.
Please remember to embed fonts to secure a correct display. Microsoft Powerpoint 2003 with newest updates will be used for Powerpoint presentations.
Please save you presentation as a powerpoint presentation (.ppt) and not as a powerpoint show (.pps).
Remember also to embed you fonts.

  • File menu -> Save As.
  • Click Tools -> Save Options, select Embed TrueType Fonts check box
  • To embed only those characters used in the presentation, select Embed characters in use only (best for reducing file size)
We are sorry for not supporting Apple keynote and Open Office Impress presentations.
Your presentation is expected by the local team on 23rd July 2009. The last deadline to receive the presentations is the 3th of September 2009. The local team will deliver your material to the session chairs.

2. Display, Set-Up, Attendance and Removal Times

The dialogue sessions will take place in the Level 0 of the Palau de Congressos de Barcelona  (Fira de Barcelona), going down the stairs from the main hall of the venue of the conference and the exhibition. The exhibition stands and posters are in the same area.

Please take attention to the guiding tables for the distribution of your posters, which can be seen from 8:00 hrs onwards at the day of your dialogue session or take the support of the conference staff.

You are asked to set up your display between 08:30 - 10:30 hrs on the morning of your presentation day. Please see the Provisional Programme for your day of presentation.

The dialogue sessions run from 14:40 - 16:40 hrs on Tuesday, Wednesday and Thursday. No lecture sessions will take place in parallel and the presenting author should attend his poster panel throughout this time.

Display material must be removed by 18:00 hrs on the day of your presentation. Any material not removed will be thrown away.

3. Checking your presentation

If your dialogue paper has been prepared by several authors, please make it clear which author will attend the Dialogue Session to discuss the display with the registrants using a presentation advice note. Please make sure that the presenter has made himself known on the host of the conference before the conference: http://www.cborg.net/epe2009/soumission.html => I will be a speaker.  An author should be present in person at the dialogue session, otherwise his paper will not be discussed and will not be uploaded into the IEEEXplore database.


4. Equipment

The following equipment will be provided for your dialogue display:

  1. A dialogue set with 2 panels in a V-shape. Each panel is 103.50 cm wide and 217 cm high, giving a maximum usable area of 94cm x 120cm per panel. Your poster therefore should not be bigger than 94 cm wide x 120 cm high.

 

 



The poster(s) (part A and/or part B) can also be combined from several smaller sheets using the same area of the poster panel.

Please avoid the use of copied pages of your written paper!

  1. Sticking material for attaching your posters to the panels:
    The sticking materials permitted are Velcro tape and double faced tape in order not to damage the panels and enable a smooth removal afterwards.

Any material for the dialogue set up and display must be provided by the authors (sticking material, scissors, pens, envelopes for information sheets, etc.).
